This policy is written to comply with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and British Columbia's Personal Information Protection Act (PIPA).

2. Information We Collect

We collect personal information that you provide directly to us through forms on this website, in person at our showroom, by phone, or by email:

• Contact details — name, email address, phone number
• Project details — your property address (if you request an in-home estimate), project type, budget range, timeline, and a description of the work
• Photos — any images you upload to your quote request
• Appointment details — preferred date and time for showroom visits or site assessments
• Correspondence — notes from calls, emails, and meetings (kept in our CRM for the lifecycle of your project)

We also collect limited technical information automatically when you browse the site:

• IP address (used by Cloudflare and our reCAPTCHA verification)
• Browser type, device, and operating system
• Pages viewed and approximate location (city/region)
• Referring URL (e.g. Google, Instagram)

3. How We Use Your Information

We use the information you give us to:

• Respond to quote requests and provide written estimates
• Schedule and confirm showroom appointments and in-home consultations
• Send project updates, contract documents, and invoices
• Follow up after a project is complete (warranty, satisfaction)
• Improve our website, products, and services
• Comply with legal and tax obligations

We do not sell, rent, or trade your personal information to third parties for marketing purposes.

4. Cookies and Tracking

This site uses minimal cookies. Anything strictly required for the site to function (e.g. anti-spam tokens, your dark/light theme preference) is set without notice. We do not use cross-site advertising trackers.

5. Third-Party Services

To operate the site we share a small amount of information with the following service providers:

• Google reCAPTCHA v3 — protects forms from spam and bots. Google's Privacy Policy and Terms of Service apply when you use the site.
• Cloudflare — protects the site from attacks and speeds up content delivery. Cloudflare may temporarily process your IP address.
• Email delivery — quote requests and appointment confirmations are sent through our self-hosted mail server. We do not share your email with marketing platforms.

6. How Long We Keep Your Data

We keep customer records for as long as we have an active relationship with you, plus seven years afterward (for warranty, tax, and accounting purposes). Quote requests that don't lead to a project are kept for two years and then deleted. Browser-level technical logs are kept for 30 days.

7. Your Rights

Under PIPEDA and PIPA you have the right to:

• Ask what personal information we hold about you
• Request corrections to inaccurate information
• Ask us to delete your information (subject to legal and contractual obligations)
• Withdraw your consent to future contact at any time
• File a complaint with the Office of the Privacy Commissioner of Canada if you're not satisfied with our response

To exercise any of these rights, email us at info@flooringandrenovations.com with the subject line "Privacy Request". We will respond within 30 days.

8. Security

We use industry-standard measures to protect your data: HTTPS encryption everywhere, hashed and salted passwords, role-based access controls in our admin systems, brute-force protection on logins, and regular database backups. We restrict access to your information to the small number of staff members who need it to do their jobs.

9. Children

Our services are intended for property owners and authorized agents. We do not knowingly collect personal information from anyone under 16.

10. Changes to This Policy

If we make material changes to this policy we will update the "Last updated" date above and, where appropriate, notify affected customers by email.
